Smartsheet Workflow Column Placeholder Inserter

Smartsheet workflow messages use column placeholders in the format {{Column Name}} to include live cell data in alert emails and notifications. These must be typed by hand, and a single character difference between the placeholder text and the actual column name causes the placeholder to fail silently — the literal text {{Column Name}} appears in the recipient's email instead of the intended value.

The daily workaround

Typing placeholders manually by exact name
Every placeholder requires typing the column name character-for-character, including matching capitalisation and spacing, to avoid a silent failure.
Silent placeholder failures in sent emails
A misspelled or incorrectly capitalised placeholder does not produce an error — it renders as raw text in the recipient's email with no warning during setup.
Memorising column names for longer sheets
Sheets with many columns require remembering or switching back to the sheet to look up exact column names before typing each placeholder.
Repeated failures for renamed columns
When a column is renamed, all workflow message placeholders referencing the old name fail silently until each one is manually located and corrected.

With Grid Tools

How Grid Tools handles it

Search and select columns by name
Grid Tools adds a column picker inside the message editor — type to filter the sheet's column list and select the one you want to insert.
Placeholder inserted with exact spelling
The selected column name is inserted as a correctly formatted {{Column Name}} placeholder, with no opportunity for a typo.
No need to memorise column names
The searchable list shows every column on the sheet, so you can find and insert placeholders for any column without switching tabs or remembering names.
Faster message drafting with many placeholders
Messages that reference several columns — like summary alerts combining status, owner, and due date — are built faster by selecting from the list than by typing each placeholder individually.

Frequently asked questions

What happens when a column placeholder is typed incorrectly in Smartsheet?

Smartsheet does not validate placeholder names when you save the workflow. A misspelled placeholder renders as the literal text — for example {{Aasigned To}} — in the recipient's email with no error or warning.

Does the column picker show all columns on the current sheet?

Yes. The picker pulls the column list from the sheet the workflow is attached to and shows all available columns, including system columns like Created By and Modified Date.

Does this work in both the default message editor and the rich text editor popout?

Yes. The column placeholder inserter works in the standard workflow message panel and also within the Grid Tools rich text editor popout.

Can I use the placeholder inserter for subject lines as well as message bodies?

Yes. Column placeholders are valid in both the subject line and message body of workflow notifications, and the inserter supports both fields.
