Smartsheet Conditional Format Copy and Paste

Smartsheet has no way to copy conditional formatting rules from one sheet to another. When a team builds a sheet with a carefully designed set of conditional formats — status color-coding, overdue highlighting, priority flags — and then needs those same rules on a second sheet, every rule must be recreated manually through the conditional formatting dialog, condition by condition.

Without Grid Tools

The daily workaround

Recreate every rule from memory
Each conditional format rule in the target sheet must be added through the Conditional Formatting dialog by selecting the condition type, value, and formatting options from scratch.
Open source sheet for reference
Sheet builders keep the source sheet open in another tab to read each rule's conditions, colors, and logic as they attempt to recreate them in the target sheet.
Miss rules during manual transfer
Complex sheets with 10 or more conditional format rules frequently end up with missing or mis-configured rules after manual transfer because there is no checklist or comparison tool.
Rebuild after sheet templates fail
Smartsheet's Save as New sheet option copies conditional formats only from that exact sheet — any format-only transfer between unrelated sheets requires full manual reconstruction.

With Grid Tools

How Grid Tools handles it

Copy rules from any sheet
Grid Tools reads the complete conditional formatting rule set from the current sheet, including all conditions, format choices, and rule order.
Paste into any target sheet
Switch to the target sheet and paste; Grid Tools applies the copied rules in the correct order without manual re-entry of any condition or format value.
All rule details transfer
Condition type, comparison value, text and background colors, bold and italic flags, and rule priority all transfer exactly as configured in the source.
No rework after pasting
Pasted rules work immediately on the target sheet — no post-paste cleanup, reordering, or condition adjustment required.

Frequently asked questions

Can Smartsheet copy conditional formatting between sheets?

Not directly. Conditional formatting carries over when you use Save as New on the same sheet, but there is no way to copy rules from one unrelated sheet to another. Grid Tools adds that capability.

Does Grid Tools copy the rule order as well as the rules themselves?

Yes. Rule order in Smartsheet's conditional formatting affects which rule wins when multiple conditions match the same row. Grid Tools preserves the source order in the pasted result.

Can I paste conditional formats into a sheet that already has existing rules?

Yes. Grid Tools appends the pasted rules to the target sheet's existing rule set. You can reorder or delete rules afterward using Smartsheet's standard conditional formatting editor.

Do the column references in the rules transfer correctly?

Rules that reference columns by name will apply to the matching column names in the target sheet. If a referenced column does not exist in the target, that rule will need manual adjustment.
