Smartsheet Bulk Insert Rows

Smartsheet only lets you insert rows one at a time, or a small number at once using right-click on a selection. When you need to add 50, 100, or 200 blank rows to a template, a section of a project plan, or a data entry area, repeating the insert action dozens of times is slow and disruptive — and it is easy to lose count.

Without Grid Tools

The daily workaround

Repeat insert one row at a time
Right-clicking and selecting 'Insert Row Above' for each row needed turns a 5-second task into several minutes of repetitive clicking.
Select many rows to multi-insert
Users select N rows and right-click to insert N rows at once, but this requires first having N existing rows selected — which itself takes time on a large sheet.
Paste blank rows from Excel
Some users create a block of blank rows in Excel and paste them into Smartsheet to bypass the manual insert limit, then clean up any formatting artifacts.
Rebuild sections of a template
When a project template needs more rows than originally built, editors delete and recreate sections rather than expanding them — losing existing formatting and formulas.

With Grid Tools

How Grid Tools handles it

Specify count and position
Enter the number of rows to insert and the row position, and Grid Tools inserts the full block in one action.
Insert above or below any row
Choose whether the new rows appear above or below a specified row — useful for adding space inside a template section without disrupting surrounding content.
No paste or workaround needed
Bulk insert works directly inside Smartsheet without leaving the browser, copying data from external tools, or running multi-step clipboard operations.
Insert up to hundreds of rows
Add the row count you need in a single step rather than repeating the insert action or counting clicks.

Frequently asked questions

How many rows can Smartsheet insert at once natively?

Smartsheet lets you insert a number of rows equal to the rows you have selected. To insert 100 rows natively, you must first select 100 existing rows. Grid Tools lets you type in the desired count directly.

Can I choose where the rows are inserted?

Yes. Grid Tools lets you specify the row number above or below which the new rows should be inserted, rather than being limited to inserting at the current selection position.

Will bulk-inserted rows inherit formulas from adjacent rows?

Newly inserted rows are blank. Smartsheet's own formula-filling behavior applies the same way it does for any manually inserted row — Grid Tools does not change that behavior.

Is there a maximum number of rows I can insert at once?

Grid Tools supports inserting large blocks of rows in a single action. The overall limit is Smartsheet's own sheet row limit — Grid Tools does not impose an additional cap.
